Expatsi LLC Privacy Policy

This Privacy Policy (“Policy”) explains how Expatsi LLC (“Expatsi,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with Expatsi’s Platform, Services, and other websites, services, marketing activities, and related business operations related therewith. Expatsi acts solely as a facilitator and referral platform. We connect individuals to independent third‑party vendors that provide relocation, real estate, immigration, and destination services. Those vendors collect documents and any sensitive information directly from you and process such information under their own privacy notices. This Policy governs only the personal information that Expatsi collects and processes. Capitalized terms not defined in this Agreement have the meaning given to such terms in the Terms of Service.

About Expatsi’s Services

Expatsi owns and operates a Platform that provides self-guided, subscription-based planning and workflow software to users preparing for international relocation (“Platform Services”) and hosts an online marketplace for independent third-party providers (“Providers”) to offer relocation-related services (“Provider Services”). Expatsi does not itself provide the Provider Services and does not request, collect, or store sensitive application documents (e.g., passports, visas, proof of income). Such information is provided by you directly to the Providers you choose to engage.

Applicability of this Policy

This Policy applies to the Platform (and related website(s)) and to services and activities operated by Expatsi, including inquiry intake, referral and coordination, communications, support, and marketing. By accessing or using the Platform or our Services, you acknowledge that you have read and understood this Policy.

This Policy does not apply to any third‑party websites, applications, or Providers to which we refer you. Each third party maintains its own privacy practices. We encourage you to review their privacy notices before providing data or information to them.

Identifying the Data Controller

For the personal information that Expatsi collects and processes under this Policy, Expatsi LLC is the data controller.

Providers you select and engage directly act as independent controllers of the personal information they collect from you to provide Provider Services.

Information We Collect and Sources

We collect two types of information: Personal Data and Aggregate Data.

“Personal Data” means information that directly or indirectly identifies an individual, including similar terms defined by applicable privacy laws.

“Aggregate Data” means de‑identified information, learnings, logs, and data about groups or categories of users; Aggregate Data does not identify you and may be used for any lawful purpose.

We collect information in the following ways:

  • Information You Provide: when you submit inquiries, request referrals or consultations, subscribe to communications, or otherwise contact us.
  • Automatically Collected Information: when you visit the Platform, such as IP address, device and browser information, pages viewed, and timestamps.
  • Information from Third Parties: limited confirmation from Providers (e.g., referral status), analytics providers, and publicly available sources.

Categories of Personal Data We Collect

Depending on your interactions with us, we may collect the following categories of Personal Data:

  • Personal Identifiers: Name, email address, phone number, city/state, country of residence, destination of interest.
  • Relocation Interest Details: Service interests (e.g., immigration consultation, housing search), target dates, general preferences and budget ranges you choose to share.
  • Commercial Information: Records of services purchased from Expatsi (e.g., referral or coordination fees), communications history.
  • Internet/Network Activity: Interaction with our Platform, including logs, cookies, and analytics events.
  • Professional Information (optional): Job title, employer (only if you choose to provide it; Expatsi does not currently offer corporate relocation programs).

Expatsi does not request or store sensitive documents (e.g., passport scans, visas, financial statements) for relocation processing. Such materials must be provided directly to your selected Providers. 

How We Use Personal Information

  • Provide, operate, and improve the Platform and our Services.
  • Respond to inquiries; assess service needs; and facilitate introductions to Providers at your direction.
  • Communicate about referrals, updates, and relevant resources.
  • Process payments and perform accounting (if applicable).
  • Conduct analytics, quality assurance, and service improvement.
  • Detect, prevent, and respond to fraud, abuse, or security incidents.
  • Comply with legal obligations and enforce our terms.

We do not use Personal Data for automated decision‑making that produces legal or similarly significant effects.

How We Share and Disclose Personal Information

  • At Your Direction: with Providers to whom you request that we introduce you (we share only the information reasonably necessary for the referral).
  • Service Providers to Expatsi: providers of hosting, email, analytics, payment processing, or other support, bound by appropriate contractual obligations.
  • Legal and Safety: to comply with law or legal process, protect rights and property, and address security or fraud concerns.
  • Business Transfers: in connection with a merger, acquisition, or similar corporate transaction.
  • With Your Consent: for any other disclosures not described above.

Expatsi does not sell or rent Personal Data.

Cookies and Similar Technologies

We use cookies, pixels, and similar technologies to enable core functionality, maintain sessions, perform analytics, and understand Platform usage. You can manage cookie preferences through your browser settings. Disabling certain cookies may impact Platform functionality.

Data Retention

We retain Personal Data for as long as necessary to fulfill the purposes described in this Policy, including to provide referrals and maintain records, comply with legal obligations, resolve disputes, and enforce agreements. Thereafter, we delete or de‑identify the information.

Security

We maintain administrative, technical, and physical safeguards designed to protect Personal Data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Global Operations and International Data Transfers

We operate globally. Your Personal Data may be transferred to, stored in, or otherwise processed in countries other than your own, including the United States and destination countries relevant to your relocation. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses to ensure an adequate level of protection.

European/UK Data Subject Rights

If you are located in the European Economic Area (“EEA”) or United Kingdom (“UK”), you may have the right to request access, rectification, erasure, restriction, or portability of your Personal Data, and to object to certain processing. Where processing is based on consent, you may withdraw consent at any time without affecting the lawfulness of processing before withdrawal. To exercise these rights, contact privacy@expatsi.com. We may need to verify your identity before responding.

U.S. State Privacy Rights

Residents of certain U.S. states (including California, Colorado, Connecticut, Montana, Oregon, Utah, Virginia, and others as laws evolve) may have rights to access, correct, delete, or obtain a copy of certain Personal Data; to opt out of “sales,” “sharing,” or “targeted advertising”; and to be free from discrimination for exercising these rights. Choice and Opt‑Out

You may opt out of marketing emails by following the unsubscribe link in those emails or by contacting privacy@expatsi.com. We may continue to send transactional or service‑related communications.

Personal Data About Children

Our services are not directed to individuals under 16. We do not knowingly collect Personal Data from children. If you believe a child has provided us with Personal Data, please contact us so we can delete it.

Changes to this Policy

We may update this Policy from time to time. The “Last Updated” date above reflects the effective date. If we make material changes, we will provide additional notice as required by applicable law.

Annex B: Do Not Sell or Share / Global Privacy Control (GPC) Recognition

Expatsi does not sell or rent Personal Data for monetary or other valuable consideration. Expatsi shares limited information necessary to fulfill your referral requests with Providers, as described in this Policy. Under applicable state privacy laws, this limited sharing is not considered “selling” or “sharing” for cross‑context behavioral advertising.

Global Privacy Control (GPC): When supported by your browser or extension, Expatsi will honor a valid GPC signal indicating your preference to opt out of the sale or sharing of Personal Data, in accordance with applicable law.

Annex C: Data Protection Officer (DPO) and EU/UK Representative

Expatsi has designated a Data Protection Officer (“DPO”) responsible for overseeing compliance with this Policy and applicable data protection laws. Expatsi may also appoint an EU and/or UK representative to facilitate communication with supervisory authorities and individuals in those jurisdictions.
